MAYFIELD BUSINESS ADVISORY

Consultation Booking Terms

Clear arrangements make for a better working relationship. Please read these terms before requesting a consultation or confirming a business advisory service.

These Consultation Booking Terms explain how consultation requests are handled, when an appointment can be arranged, how service fees are confirmed and what both parties can expect during a consultancy engagement. They apply to consultation requests and services provided by Mayfield Business Advisory. Please contact us if anything is unclear before proceeding with a booking.

01 Scope of These Terms

These terms apply to consultation appointments and business operations consultancy services arranged through Mayfield Business Advisory. They cover the booking process, agreed service scope, fees, payment arrangements, client responsibilities and the delivery of consultancy materials.

Each engagement is based on the requirements discussed with the client. The specific work to be carried out, the expected deliverables and the applicable charges will be confirmed through our official communication channels before the consultancy work begins.

Where a separate written proposal or service agreement has been accepted by both parties, its specific terms will apply alongside these general booking terms. If there is a conflict, the agreed written service arrangement will take precedence for the relevant engagement.

02 Booking Requirements

All consultations must be requested at least 24 hours before the proposed appointment time. We do not accept same-day consultation bookings.

This advance notice allows us to review the enquiry, understand the nature of the requested assistance and make suitable arrangements for the consultation.

Before Requesting an Appointment

  • Provide your name and preferred contact details.
  • Briefly describe your business and the assistance you require.
  • Indicate your preferred consultation date and time.
  • Allow at least 24 hours between submitting your request and the proposed appointment.

Advance booking requirement: Requests for appointments scheduled less than 24 hours after submission, including same-day requests, cannot be accepted. An alternative date and time will need to be arranged.

Submitting an enquiry does not automatically reserve an appointment. All proposed dates and times remain subject to confirmation by our team.

03 Booking Confirmation

Once we receive a consultation request, we will review the information provided and contact you to discuss the proposed requirements.

Before confirming an appointment, we may need to clarify the subject of the consultation, the expected duration, relevant business information and any documents that would be useful for the discussion.

A booking is considered confirmed only after we have communicated acceptance of the appointment and agreed the relevant arrangements in writing through our official communication channels.

We will provide the appointment details, any preparation requirements and applicable service or payment information as part of the confirmation process.

04 Service Fees and Quotations

Our website may display starting prices for individual consultancy services. These prices provide an indication of the minimum charge for a limited scope of work and should not be treated as a fixed quotation for every project.

The final fee depends on the nature of the requested work, the number of operational areas involved, the quantity of supporting information and the level of analysis required.

Before a project is confirmed, we will explain the proposed service scope, the agreed fee and the expected deliverables. Any additional work outside the original arrangement will be discussed and quoted separately.

No additional charge will be added to an agreed project without first explaining the change and obtaining the client’s agreement.

05 Payment Arrangements

Payment arrangements are confirmed after the service requirements have been reviewed. This allows us to establish the appropriate scope of work, expected deliverables and applicable fee before any payment is requested.

Mayfield Business Advisory does not currently process online payments through this website.

After confirming the consultancy details, clients will receive payment information and any relevant booking arrangements through our official communication channels.

Available payment methods may vary depending on the agreed service arrangement and individual client requirements. The accepted method, payment amount and payment deadline will be explained before the engagement is confirmed.

Payment Confirmation

Where advance payment is required, the relevant payment instructions and deadline will be provided in writing. Work will normally begin once any agreed initial payment has been received and the project arrangements have been confirmed.

If a payment deadline cannot be met, please contact us before that deadline so that the available arrangements can be discussed.

06 Client Responsibilities

Good consultancy work depends on having a clear understanding of the business and the processes being reviewed. Clients are therefore expected to provide reasonable cooperation throughout the engagement.

This includes:

  • Providing accurate and relevant information about the business.
  • Explaining the operational issues or objectives to be addressed.
  • Supplying agreed documents and reference materials in a reasonable timeframe.
  • Ensuring that submitted information may properly be shared for the agreed consultancy purpose.
  • Reviewing consultation arrangements and confirming any important details before work begins.
  • Informing us promptly if business requirements or project priorities change.

If important information is incomplete, inaccurate or provided later than agreed, this may affect the scope, timing or usefulness of the consultancy work. We will discuss any significant impact with the client.

07 Consultancy Services

Our work focuses on reviewing business operations and providing practical recommendations. Depending on the agreed engagement, this may include order processing procedures, inventory administration, customer service workflows and day-to-day administrative processes.

The specific activities undertaken will be limited to the scope agreed before the project begins. We will explain the intended approach and the type of information needed for the review.

Unless separately agreed in writing, our consultancy services do not include taking over the client’s daily business operations, managing employees, processing customer orders or operating inventory systems on the client’s behalf.

Any implementation work, additional review or continuing advisory support must be discussed and agreed as a separate service arrangement.

08 Reports and Digital Deliverables

Consultancy work may result in electronic documents prepared according to the agreed service scope. Depending on the project, deliverables may include:

  • Business operations review reports in PDF format.
  • Order workflow templates and administrative tracking sheets in XLSX format.
  • Inventory record templates and stock review checklists.
  • Customer service procedure guides in DOCX format.
  • Administrative process documentation and action summaries.
  • Operational improvement plans and supporting recommendations.

Deliverables will normally be sent electronically to the email address agreed with the client. The expected documents and delivery arrangements will be confirmed before the relevant work begins.

Clients should review the documents within 7 calendar days of receipt and let us know if an agreed item is missing or if there is a clear discrepancy between the deliverable and the confirmed scope.

Where a correction is required because a document does not reflect the agreed scope, we will discuss the appropriate correction with the client.

Additional documents or substantial changes requested after the agreed work has been completed may require a separate quotation.

09 Rescheduling a Consultation

We understand that business commitments can change. If you need to rearrange a consultation, please contact us as early as possible.

Requests to reschedule should normally be submitted at least 24 hours before the scheduled appointment. We will make reasonable efforts to arrange an alternative date and time, subject to availability.

Changes requested less than 24 hours before an appointment may not be accommodated. Any alternative arrangements will need to be discussed and confirmed directly.

A new appointment is not confirmed until we have communicated the revised date and time in writing.

10 Cancellation Policy

If you no longer wish to proceed with a consultation, please notify us by email as soon as possible. This allows us to update our arrangements and avoid unnecessary preparation.

Consultation Cancellation

Clients may cancel a consultation by providing written notice. Where an appointment is cancelled at least 24 hours before its scheduled start time, any applicable refund of an advance payment will be assessed according to the agreed service arrangement and applicable law.

For cancellations made less than 24 hours before the appointment, we will review any preparation already completed and any applicable contractual terms before determining whether a charge is due.

Cancellation of Consultancy Projects

If a client wishes to end an agreed consultancy project after work has started, the client should contact us in writing. Any charges will be considered in light of the work already completed, any agreed costs properly incurred and the applicable contractual arrangements.

Any refund due will be processed within 14 calendar days after the amount has been agreed and the necessary details have been confirmed.

Nothing in this section removes any cancellation, refund or other rights that a client may have under applicable consumer law.

11 Delays and Availability

We make reasonable efforts to carry out agreed consultancy work within the proposed timeframe. However, project schedules may depend on receiving information, documents and feedback from the client.

If a delay is likely to affect an agreed appointment or delivery schedule, we will inform the client and discuss a suitable revised arrangement.

Where a delay is caused by incomplete information, late document submission or a change in project requirements, the delivery timeframe may need to be adjusted accordingly.

If we need to rearrange an appointment due to our own availability, we will contact the client as soon as reasonably possible and offer an alternative arrangement.

12 Professional Disclaimer

Our consultancy services are intended to provide practical business operations observations and recommendations based on the information made available to us and the scope agreed with the client.

Each business has its own circumstances, resources and working arrangements. Recommendations are therefore prepared for the particular requirements discussed during the engagement and should be considered in the context of the client’s wider business operations.

We do not guarantee specific financial results, sales figures, cost savings, productivity improvements or other commercial outcomes. The results of any operational changes will depend on factors including the client’s decisions, available resources and implementation arrangements.

Our reports and recommendations are advisory in nature. They are not a substitute for legal, accounting, tax, financial, regulatory or other specialist professional advice. Where a matter falls outside our agreed consultancy scope, the client should seek advice from an appropriately qualified professional.

Unless specifically agreed in writing, we do not independently audit, certify or verify the accuracy of information supplied by the client. Our observations are based on the materials and explanations made available during the engagement.

13 Limitation of Liability

We take reasonable care when carrying out agreed consultancy work and preparing the documents supplied to clients. However, business recommendations involve professional judgement and may be affected by the completeness and accuracy of the information provided.

To the extent permitted by applicable law, we are not responsible for:

  • Business decisions made independently by the client after receiving our recommendations.
  • Changes in commercial circumstances or external business conditions.
  • Inaccuracies or omissions in information supplied by the client or other third parties.
  • Outcomes arising from implementation choices made by the client or other parties.
  • Matters that fall outside the agreed consultancy scope.

Nothing in these terms excludes or limits liability where such exclusion or limitation is not permitted under applicable law. This includes liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, and any other liability that cannot legally be restricted.

Where the law permits a limitation of liability, any applicable limitation must be reasonable and consistent with the nature of the agreed service and the circumstances of the engagement.

14 Confidentiality

Business information shared with us during a consultancy engagement will be handled with appropriate care and used for the agreed purpose.

We will not knowingly disclose a client’s confidential business information to unrelated third parties, except where disclosure is necessary to provide an agreed service, authorised by the client or required by law.

Clients should only provide documents and information that are relevant to the agreed consultancy work. Any information belonging to another person or organisation should only be shared where the client has the necessary authority to do so.

Confidentiality obligations do not apply to information that is already publicly available through no breach of these terms, or information that must lawfully be disclosed.

15 Questions and Complaints

If you have a concern about a booking, consultation or completed piece of work, please contact us by email and explain the matter as clearly as possible.

We aim to acknowledge complaints within 5 working days and provide a substantive response within 14 calendar days.

If further investigation is needed, we will explain the reason for the delay and provide an expected response timeframe. We will make reasonable efforts to resolve concerns through direct communication.

16 Governing Law

These terms are governed by the laws of England and Wales, subject to any mandatory consumer protection provisions that apply to the client.

Any dispute arising from a booking or consultancy arrangement will first be approached through reasonable communication between the parties. Where a matter cannot be resolved directly, it may be referred to the appropriate courts in accordance with applicable law.

Nothing in this section removes any rights a consumer may have to bring proceedings in another court where applicable law allows.
